Q. Can users access the edit Workback Schedule screen to complete or clear Tasks they're responsible for from their Assigned Task Lists?
A. The way the CurrentTrack is designed, only those with Special Access privileges are allowed to modify Workback Schedules. The reasoning behind this involves the overall timing of the job. If an Art Director, for example, moves the Due date of the Layout Task (or marks it Completed) and the Traffic Manager is unaware of the change, other important deadlines within the job might not be moved (or marked Working) and, subsequently, could be missed (e.g. Client presentation). It's key that a job's Workback Schedule be managed by as few people as possible. If you feel that you should have access to this feature, you'll need to speak with your CurrentTrack administrator.A. All Time Sheet line items and expenses within CurrentTrack must be attached to a Job Number. In order to keep track of those Tasks that are internal or cannot be billed to a specific Client, for example, simply enter a monthly in-house charges job under your [Agency] Client (e.g. March ('05) In-House Charges). You may then record line items within your Time Sheet to it, as well as any miscellaneous expenses that are incurred over the course of the month (e.g. copy paper, coffee for the break room, etc.). Be sure to add at least one Task to the job's Workback Schedule (e.g. Billout [Due] 3/31/05) so you don't overlook its time and expenses at month's end.
A. In order to attach an image (or file) to a Task, it must first be uploaded to the job's Creative Folder by going to Clients & Jobs -- Client -- Job -- I Want To: Open Creative Folder -- Upload Creative.
Next, Manage the job's Workback Schedule and click the Comments box to the far right of the desired Task. In the pop-up box, click the paper/chain icon. From there, you can easily navigate to the Client -- Job -- Creative Folder -- File. Click Insert Comments once you're through and submit your Workback Schedule.
When the Task appears on the Responsible employee's Assigned Task List, s(he) will see a link to the file within the Task's Comments box.
